Create a Budget Move
The Budget Move option is used to move budgeted amounts among terminal cost items or among accounts. Amounts can be moved around in any combination, but the Net Budget Change must equal zero in order for the change to be approved. The Net Budget Change shows in the lower portion of the Change Record for easy reference, and it is kept updated as entries are added to this record.
Step by Step — Create Change Records from Scratch
- On the Execution tab, click Budget / Contract Changes to open the Budget / Contract Changes Register.
- On the Actions tab, click New under Edit.
- In the Attention dialog box, select the Change Record Type: Cost Item or Account.
- Select Create Change Records from scratch.
- Click OK to open a new Change Record.

- In the Type field, select Budget Move.
- On the Header tab, enter a Description of the change, along with any tags, user defined fields and notes that you want to associate with this change.
- Click the Details tab.
- In the Budget Change Details data block, follow the steps of either the Cost Item or the Account record type based on your previous selection.

- Click in the CBS Position Code column on the first blank row.
- Click the CBS icon next to the cell to show a selection register of the cost items in the CBS.
- Select the terminal cost item that you want to move budgeted funds. The relevant information from the CBS shows on the Budget Change Details register row.
- Select the row, and then click Open to show the Budget Change Detail Record for the cost item.

- Click in the Account Code column on the first blank row.
- Click the foundation data icon next to the cell to show a selection register of account codes.
- Select the account that you want to move budgeted funds. The relevant information from the Account Code Utilization Register shows on the Budget Change Details register row.
- Right-click on the row and select Open to display the Budget Change Detail Record for the account.

- In the Budget Change Details data block, enter the Quantity Change and Man-Hour Change as needed.
- On the Total Budget Change Breakdown tree, make the preferred changes in the Change to Total Cost column, and then click OK.
When entering a Change to Total Cost value on the Total row in the cost category tree, the amount will be spread into the cost category tree proportionate to the Current Budget cost category values in the CB-Total Cost column.
- Repeat the previous steps for each additional Cost Item or Account record type that will be included in this budget move.
- When you have completed your budget move entries and you want to approve the change, select Approve to approve this Budget Move change.
A Budget Move cannot be approved unless the Net Budget Change is zero.
- To save this record, click OK.
After saving an approved record, it will be reflected in your Current Budget.
